Job Title : Sharepoint / Document Control Manager (Capital Projects)

Position Objectives:

Sharepoint/Document Control Manager – This person would be in charge of setting up sharepoint from scratch, setting up all of the permissions, folders, etc.  Along with creating the overall Document Control Proecss.  

Job Purpose:

Control all document transmissions internal and external of the project, and collaborate with the contractor’s document controllers and systems. This position will represent the owner-operator’s document controls to the EPC and other contractors.

Duties and Responsibilities:

§  Assist in assembling project books

§  Creates, tracks and logs and transmittals for Job package

§  High quality duplication of large quantity turnaround data books

§  Obtains pertinent signatures for Job packages to be released for IFC

§  Creates and Maintains report on signature status for Job packages

§  Ensure document management follows established procedures or standards

§  Facilitate project internal and external transmittals

§  Ensure all transmittals and documentation are complete and received in a timely manner

§  Ensure the use of standardized forms and templates

§  Perform analysis of document compliance, such as numbering, with project and site standards

·          Takes meeting minutes and electronically distributes to TA or Project personnel

·          Obtain documentation Job Notes IFC’ed and maintains Master Job Note Files

·          Obtains pertinent signatures for Job Note to be released for IFC

·          Creates and Maintains report on signature status for Job notes

·          Timesheet batching and signature obtainment

·          Performs weekly safety meetings

·          Creates and maintains TA or Project filing system

·          Receives and performs Mail distribution

·          Schedules and maintains Outlook calendars for conference room meetings for multiple personnel

·          Delegates charge numbers for specific job requirements, ie, labor, material, equipment rental, I&E

·          Creates and maintains contact list for TA and/or Project 

§  Ability to learn in-house document database

§  Ability to manipulate pdf’s and convert from Word and Excel

§  Effective writing skills; excellent proofreading, spelling, grammar and punctuation

§  Experienced with Microsoft Office products including SharePoint and Documentum

§  Proficient at working in a cross-functional environment providing accurate data to team members to ensure forecasted project compliance and reporting


  •   HS Diploma or equivalent
  •   3+ years of experience in project document controls
  • strong preference for experience representing EPC and owner operator
